AI employees guide
Prepare the documents your AI employee answers from
Your AI employee only says what your documents say. A clear price list and FAQ make the difference between a good answer and a handover.

In short
- Gather your core documents. Collect your price list, FAQs and policies for delivery, refunds and bookings.
- Make each fact easy to find. Put one product or question per line or heading, with the price, unit and conditions next to it.
- Add them in Knowledge. Open Knowledge and use Add file for each document, or Add text for short facts.
- Test with real questions. Ask your AI employee's test chat the questions customers really send, and fill the gaps it hands over on.
Your AI employee answers from the documents you add in ezychat.io, and from nothing else. When they don’t cover a question, it hands the chat to your team. So the better your documents, the more questions it can answer on its own.
What to upload first
- Your price list. Every product or service, its price, its unit, and what’s included.
- Your FAQs. The twenty questions customers ask every day, with your answers.
- Your policies. Delivery areas and charges, refunds and returns, booking and cancellation.
- Proof customers ask for. Certificates and licences, such as a halal certificate.
Make each fact easy to find
The AI looks up the passage that answers a question, so write documents the way a new staff member would want them:
- One thing per line or heading. “Kitchen package, 10 ft: RM18,800, includes cabinets, quartz top and sink” beats a paragraph that mentions three packages.
- Prices with their conditions. If delivery is free above RM150, say so next to the delivery price.
- Your customers’ words. If customers say “aircond”, include “aircond” next to “air conditioning”.
- Dates on anything that changes. “Raya promotion, until 30 April” stops it quoting an old offer.
Spreadsheets work well for price lists: one row per item, with clear column names.
Add them in Knowledge
Open Knowledge and click Add file. Add one file at a time. For a short fact without a file, use Add text: give it a name under Name it, and write the fact under What should your AI know?
Each document is read as soon as you add it. If you add more files than your plan includes, ezychat asks you to upgrade before adding more.
Test with real questions
Open your AI employee’s test chat and ask the questions customers really send, including the awkward ones. When it hands over on something it should know, the fix is almost always a missing or unclear line in a document.
Keep it current
When a price or policy changes, update the document. Your AI employee answers from what is there now.
