WhatsApp Business app vs WhatsApp Business API: which do you need?

One is a free phone app. The other connects your number to software. Here is how to tell which one your business has outgrown.

Key takeaways

  • The WhatsApp Business app is a free phone app for replying by hand, with greeting and away messages, quick replies, labels and a catalogue.
  • The WhatsApp Business API, part of Meta's WhatsApp Business Platform, has no phone app of its own; it connects your number to software such as a shared inbox or an AI agent.
  • The app lets you link up to four extra devices to one account, but everyone shares the same chats with no assignment or per-person login.
  • On the API, Meta charges per message by type and country, billed to the WhatsApp Business Account that sends them.
  • Move to the API when several people share the work, when you want an AI agent to answer, or when losing the phone would mean losing your customers.

The WhatsApp Business app is right for one person replying by hand. The WhatsApp Business API is right when a team shares the work, when you want an AI agent to answer, or when your customer history is too valuable to live on one phone. Both use the same WhatsApp your customers already have; what changes is where your side of the conversation lives.

The WhatsApp Business app

The app is free, and for a one-person business it is often all you need. You get a business profile, a catalogue, labels, quick replies, and greeting and away messages that answer automatically when you’re busy or closed.

Since 2023, one WhatsApp account can be used on up to four additional linked devices, such as a second phone or WhatsApp Web on a computer. That helps a small team, but everyone sees the same chats, there is no assignment, and there is no record of who said what. The account still belongs to one phone number on one handset.

Its limits show up as the business grows:

  • Two staff reply to the same customer, or nobody does, because nobody owns the chat.
  • The phone is the database. Lose it, reset it or lose access to the number, and the conversation history goes with it.
  • Automation stops at fixed messages. A greeting can’t tell a customer the price of a 10 ft kitchen.

The WhatsApp Business API

The API is part of Meta’s WhatsApp Business Platform. It has no phone app of its own. Instead, you connect your number to software: a shared inbox, a CRM, an AI agent, or all three.

What you gain:

  • A team inbox. Each person signs in as themselves, chats are assigned, and the history stays in the system when staff change.
  • AI that answers. An AI agent can reply from your own documents and hand the chat to a person when it should.
  • Templates for follow-ups. After the 24-hour customer service window closes, you can still reach a customer with a message template Meta has approved.

What you take on:

  • Meta’s message fees. Meta charges per message, by type and the country of the person you message. Since 1 October 2026 that includes service replies. See what changed.
  • Meta’s rules. You need people’s permission before you message them first, and automated replies need a clear path to a person. WhatsApp’s policy says you “must also have available prompt, clear, and direct escalation paths.”
  • A Meta business account. You’ll need a business portfolio and a WhatsApp Business Account. Meta may ask you to verify your business, and it may review the display name customers see.

Which should you choose?

Stay on the app if one person answers every chat, most enquiries come in during working hours, and a lost phone would be an inconvenience rather than a disaster.

Move to the API if any of these is true:

  • More than one person replies to customers.
  • Customers message at night and on weekends, and you want them answered.
  • Your chat history is where the deals are, and you can’t afford to lose it.
  • You want to know which enquiries became sales.

Moving from the app to the API

Your number can only be in one place. With ezychat.io, you remove the number from the WhatsApp Business app, then connect it through Meta’s sign-up window from Settings › Channels. Chats on the phone do not carry over, so back up anything you want to keep first. The whole process is in our step-by-step guide.

Questions

Is the WhatsApp Business API free?

No. The app is free. On the API, Meta charges per message, by message type and the customer's country, and the software you connect it to may charge a fee as well.

Can I use the app and the API on the same number?

Meta has a way for some providers to connect a number that stays in the Business app. ezychat.io connects numbers through Meta's standard sign-up, so the number is removed from the app first and its chats do not carry over.

Do I need a company to use the API?

You need a Meta business portfolio and a WhatsApp Business Account, which you can create during sign-up. Meta may ask you to verify your business before you can message more people each day.

Can I switch back to the app later?

You can remove a number from the API and register it in the app again, but the chats held in your API software stay there and do not move into the app.
